Get started with Tapat.link
Everything you need to set up your company, go live with e-invoicing and get your team productive.
Introduction
Tapat.link is a cloud ERP that runs accounting, inventory, sales, purchasing, HR, manufacturing and more on a single database. Because every module shares the same data, an invoice updates stock, the ledger and the customer balance at the same moment.
This guide walks you through the first steps after signing up. Most companies complete it in under an hour, and our onboarding team is available if you'd like help.
Your 14-day trial includes sample data. You can clear it at any time from Settings → Company → Reset sample data.
Quick start
The setup wizard runs the first time you sign in. You can return to any step later from Settings.
- 1Enter your legal company name in Arabic and English, VAT number and commercial registration.
- 2Choose your fiscal year and base currency (SAR by default).
- 3Pick a chart of accounts template: Saudi standard, trading or manufacturing.
- 4Add your warehouses, branches and point-of-sale outlets.
- 5Invite your team and assign each person a role.
Your VAT number and legal name appear on every tax invoice. Double-check them before issuing your first invoice.
ZATCA onboarding
Phase 1 (generation) is active from day one. To enable Phase 2 (integration), each branch or device that issues invoices must be onboarded with ZATCA.
- 1Sign in to the Fatoora portal and generate an OTP for each solution unit.
- 2In Tapat.link, open Settings → ZATCA and choose Add device.
- 3Enter the OTP. Tapat.link generates the key pair and requests the compliance certificate.
- 4Run the automatic compliance checks, then switch the device to production.
Once live, standard invoices are cleared in real time and simplified invoices are reported automatically. The ZATCA dashboard shows the status of every submission.
Importing data
Use the Data Import tool to bring in master data and opening balances from Excel or CSV. Download a template for each record type, fill it in and upload it.
- Customers and suppliers, including VAT numbers and credit limits
- Items with barcodes, units of measure and prices
- Opening stock per warehouse, with batches and serial numbers
- Opening balances for the chart of accounts
- Employees and salary structures
Each import is validated before anything is saved, and errors are listed row by row so you can fix and re-upload.
Users & permissions
Access is controlled by roles. Each role defines what a user can read, create, submit, cancel and approve for every document type.
| Role | Typical access |
|---|---|
| Accounts Manager | All accounting, VAT returns and financial reports |
| Sales User | Customers, quotations, sales orders and invoices |
| Stock User | Items, stock entries, transfers and delivery notes |
| HR Manager | Employees, attendance, leave and payroll |
| Cashier | Point of sale and cashier closing only |
You can restrict users further by company, branch or warehouse, and every change is recorded in the audit trail.
